Complete these steps before you start. Everything here uses free training, and most people finish in a couple of hours. Your progress is saved on this device.
1. Background check All roles
After you apply, we email you a secure invitation from our screening partner. You'll review and sign a separate disclosure and authorization, then complete the check there. You have the right to see your report and dispute anything inaccurate.
Please don't send your Social Security number or date of birth by email or through this website. Enter them only on the screening partner's secure page.
2. Talent Onboarding Packet All roles
Fill out the fillable PDF (contact info, availability, licenses, work history, references, and the document checklist) and email it back.
3. HIPAA training All roles
Take one of these free courses and pass the exam, then send us your certificate or a screenshot of your passing score. The courses are free, and the providers charge a small optional fee for an official certificate. There is no official government HIPAA certification, and many clients expect training to be repeated yearly.
- OSHAcademy, HIPAA for Business Associates: best for virtual assistants and billers. Free course and exam, about 1.5 hours.
- OSHAcademy, HIPAA for Healthcare Workers: best for medical assistants, front desk, nurses, CNAs, and other clinical roles. Free course and exam, about 1.5 hours.
- Accountable HIPAA Training: free to take, under an hour, with an exam.
- HHS HIPAA training materials: free reference materials from the federal government (no certificate).
4. Data security: RevResolve Security Rules All roles
Read the ten rules below. They are short and they are what clients care about most.
Want extra practice? Accountable also offers a free security awareness course (five short videos and a quiz) on phishing, passwords, and device security. Its certificate is optional.
5. Policy quiz All roles
Ten questions on the Security Rules. You need 8 correct. You can retake it as many times as you like. This box checks itself when you pass.
6. Role-specific training and records
- CNA, medication aide, home health aide Texas abuse, neglect, and exploitation training: free online course from HHSC. Create a login on the HHS Learning Portal, pass the final test, and print your certificate.
- Billing & virtual roles Fraud, waste, and abuse: free self-paced course from the CMS Medicare Learning Network (about 30 minutes).
- Clinical roles Health and safety records: current BLS/CPR card, TB screening within 12 months, immunization records, and a copy of your license or certification. We'll tell you exactly what each facility requires. Some facilities also ask for bloodborne pathogens training, and Accountable offers a free course.
7. Confidentiality agreement and send your records All roles
We'll send you a confidentiality agreement to sign. When everything above is done, send us your certificates and results using the form at the bottom of this page.

- Individual logins onlyUse only your own named login in every client system. Never share, borrow, or reuse credentials.
- Multi-factor authenticationTurn on MFA for your work email, password manager, and every client system that offers it.
- Encrypted business deviceWork only on a device with full-disk encryption, a strong password, automatic updates, and antivirus.
- No PHI in personal placesNever put patient information in personal email, text messages, personal cloud storage, or on USB drives.
- Minimum necessaryOpen only the records you need for the task. Don't browse.
- Lock it, every timeLock your screen when you step away, and work from a private space where others can't see your screen.
- Beware of phishingBe suspicious of unexpected links, attachments, or requests for passwords. When in doubt, ask RevResolve before clicking.
- Don't download PHIWork inside the client's systems. If a file with patient information must be saved, use only the approved location and delete it when done.
- Report problems right awayLost device? Wrong recipient? Suspicious email? Tell RevResolve immediately. Quick reporting protects patients and clients.
- Client payments stay with the clientPayments always go to the client's own bank account. We never receive or hold their money.

Keep your records current. Add a calendar reminder 30 days before anything expires.
